Most email tools hold a second copy of your contacts that drifts from the first. Here the segment is a filter over the same record the calls and WhatsApp write into — so it is current, and a reply arrives next to everything else that person has ever said to you.

A send, a campaign step, or a sequence step

Email is a channel, and it shows up in three places. On its own, as a send to a segment. As a step in a campaign — "still no answer after the second call, email". And as a step in a sequence, for one person, next to a task or a booking.

  • Unsubscribes become a stage or attribute change, so every later segment excludes them.
  • SPF and DKIM on the sending domain before the first send. Deliverability is earned.
  • Every send is a line on the contact's activity feed.

Email marketing FAQ

Where does the audience come from?

From Contacts, with the same filter builder as everything else — lead stage, source, last call outcome, last activity, any attribute you defined. Because it is the same record the phone and WhatsApp write into, "everyone we reached but did not qualify" is a real segment, not a guess.

What do I send from?

A connected mailbox — the shared email channel, so replies come back into the same queue. Your own domain, your own sender name. Set up SPF and DKIM on that domain before the first send; without them, mail providers treat a burst of email as suspicious whatever the content.

What happens when somebody replies?

The reply is a conversation in the shared inbox on the email channel, with the contact record beside it — the calls, the WhatsApp thread, the stage. Whoever picks it up sees everything, not a reply to a no-reply address.

How is this different from a campaign?

An email send is one message to a segment. A campaign is a sequence over time across channels — a call, then WhatsApp, then email — that stops per person when they connect. Use a send for a newsletter, an announcement, a re-engagement note; use a campaign when the point is to reach each individual.

Can I email people who have opted out, or are on DND?

Do not. DND is a terminal lead stage and a filter on open stages excludes it automatically. Keep an unsubscribe in every marketing send and honour it as a stage or attribute change, so the next segment excludes them without anybody remembering to.

Is this the same as my personal mailbox sync?

No. Personal email sync is your one-to-one mail under Settings, Personal. Marketing sends go out on the shared email channel, so replies are assignable and a bot can answer them.
