Workflows

Automations you can read out loud

When this happens · only if · then, in order. Numbered steps, an owner who is told when it fails, and a Live toggle. No formula builder.

The shape of one

Three blocks, and you are done

When this happens

A chat arrives unassigned. A call ends with no answer. A contact reaches a stage. A form is submitted. A campaign finishes.

Only if

The optional narrowing. Only for this channel. Only outside business hours. Only when the lead stage is still open.

Then, in order

Numbered steps that run top to bottom. Assign it, send a message, create a task, move the stage, notify someone.

What you will not find: a numeric trigger builder, a condition matrix, or a canvas of unlabelled nodes. If an automation cannot be read out loud in a stand-up, nobody will trust it enough to leave it on.

Why it was renamed

“Automations” told you nothing

Workflows are a rail item, beside Campaigns and AI bots, because building them is daily work — not a settings pane you visit twice a year. They sit where the work is.

  • A Live toggle per workflow, so nothing runs by accident.
  • An owner per workflow, told when it fails.
  • Managers and admins only — agents never see the item.
Questions

Workflow FAQ

How is a workflow written?

As three plain-English blocks: When this happens, Only if, and Then, in order — with the steps numbered. Anyone on the team can read one and say whether it is right, which is the entire test.

What happens when a workflow fails?

Its owner is told. Every workflow has one, precisely so a broken automation is somebody's problem rather than nobody's.

Can I turn one off without deleting it?

Yes — a Live toggle on each workflow. Turning it off stops it running and keeps the definition.

Who can build workflows?

Managers and admins. Agents do not see the rail item at all, because automations change how everyone's work arrives.

How many automation runs do I get?

5,000 a month on Starter, 35,000 on Pro, 125,000 on Growth and 300,000 on Scaler. Full comparison.
