Workflows & automation

Use the Live toggle to test safely

A switch per workflow, so nothing runs by accident. Build them all, turn them on one at a time.

Every workflow is either Live or Paused, and the toggle is the most important control in the feature — because the correct way to launch automations is one at a time, watching each.

Turning on five and seeing odd behaviour tells you nothing about which one caused it, and you will end up turning all five off and starting again. Turning them on individually takes a week and tells you everything.

Steps

Build with the toggle off

New workflows should not go live the moment they are saved, and they do not.

Use the gap. Read the three blocks aloud to a colleague, check the trigger against a real recent example, and confirm the owner is somebody who will notice a failure.

Read it out loud before enabling

The three blocks are designed for this. If a colleague cannot confirm it is right, it is not ready.

Turn on one workflow at a time

Then watch it for a day before turning on the next.

This is slower and it is the only approach that works. Enable five at once, see something odd, and you have five suspects and no way to separate them without turning them all off again.

One checkbox per workflow. The list header shows how many are live and how many are paused.

Check what it touched

Open the contacts it acted on and ask whether you would have done the same by hand. That is the only test that matters.

Turn it off rather than deleting

The toggle stops it running and keeps the definition — which matters when the problem turns out to have been elsewhere and you want it back.

Use it first during an incident

When something is going wrong and automations are involved, turning them off is almost always the right first move. Diagnose afterwards.

Check it worked

After a workflow has been live a week, compare its run count against your expectation. That number is the clearest signal of whether the trigger and condition are doing what you intended.

Worth knowing

The parts people get wrong

  • A workflow that is off consumes no automation actions at all.
  • The list header shows live and paused counts, so you can see the shape of your automation estate at a glance.
