Calls & calling list

Today: why nobody gets called twice

A small feature that quietly prevents the single most damaging thing an outbound team can do to a customer.

Being called twice in a day by the same company is the fastest way to turn a warm lead cold, and it happens constantly in teams whose queue is a spreadsheet.

Here it is prevented structurally rather than by discipline. "Not called today" is part of the definition of the calling list, so logging an outcome removes that person from your list for the rest of the day — automatically, with nothing to remember.

Steps

Find Today beside your calling list

Two tabs: To call, and Today. Today holds whoever you have already worked.

To call and Today, each with a count. The second is both a record and a safeguard.

Understand why they left the main list

Logging any outcome marks them as called today. That is one of the three clauses in the list definition.

Use it to check your own day

Useful at the end of a session, and useful when a customer says "somebody already rang me" — you can see immediately whether it was you.

Do not re-call from it out of habit

If a genuine second attempt is needed today, that is what a callback task is for. Working back through Today is exactly the behaviour this feature exists to prevent.

Remember it is per person

A colleague calling the same contact is a different situation, prevented by assignment rather than by this list. Contacts have one owner for a reason.

Check it worked

Open a contact you called today and read the activity feed. If a campaign also rang them this week, you will see it there — and that is worth knowing before anyone dials again.

Worth knowing

The parts people get wrong

  • Campaign attempts land on the contact's feed too, so you can see whether an automation already rang somebody before you do.
  • A duplicated contact defeats this entirely, because Today is per contact. That is one of the practical costs of duplicates.
