Calls & calling list

Make a call from Convarza

Dial from the calling list, from a contact, or from the keypad — with the record in front of you rather than a number on a sticky note.

There are three ways to start a call and they suit different moments: working the list, calling one specific person you have open, and dialling a number somebody just read out to you.

All three put the contact record in front of you while the phone rings, which is the entire point of dialling from here rather than from a handset. Ten seconds reading the panel before they answer changes how the call opens.

The call note box sits above the outcome dropdown, so you type where you are about to log.

Before you start

  • A calling channel with outgoing enabled.
  • A contact with a phone number, in international format.
  • The current time inside that channel's calling hours.

Steps

Start from the calling list for volume

The list is already the right list. Work it top to bottom with Save & next and you never choose who to call.

Start from the contact for a specific person

Call now sits in the header alongside Start chat, so you can also switch channel if a call is not the right approach.

The contact header: name, an UP NEXT marker, who it is assigned to, and both Call now and Start chat.

Use the keypad for a number somebody just gave you

A dial pad sits at the bottom of the list. Useful when a colleague reads out a number, or when you are returning a missed call from a number not yet in the system.

The keypad, at the bottom of the calling list. It is there for the number that arrived by other means.

Read the contact panel while it rings

Lead stage, the last call and how it ended, notes, open tasks. An outcome of "not interested" three days ago changes your opening line entirely.

Take notes in the call note box during the call

It sits above the outcome dropdown, so you are typing where you will shortly be logging. Notes written during the call are far better than notes reconstructed afterwards.

Log the outcome the moment it ends

Not later. An outcome logged twenty minutes and three calls later is a guess, and the list depends on it being accurate.

Check it worked

Check the contact's activity feed. The call should be there with its duration and its outcome, and if you set a callback there should be a task with the right time on it.

Worth knowing

The parts people get wrong

  • You cannot dial out on a web widget or on an inbound-only SIP gateway. Only calling channels with outgoing enabled will offer.
  • If the channel has restricted call timings, you cannot dial outside them. That is deliberate, and it is the compliance boundary working.
  • Numbers without a country code are the most common reason a call refuses to connect.
