Calls & calling list

Filter the calling list

Two filters only — assignee and lead stage — and one of them only appears if you manage people. The restraint is deliberate.

There are two filters on the calling list and there is deliberately nothing else. No queue-reason vocabulary, no next-attempt window, no priority — because none of those concepts exist in the model.

If you find yourself wanting a third filter here, what you actually want is a campaign with an audience filter, or a saved view in Contacts. The calling list is intentionally the simple thing.

Steps

Open Calls and look above the list

Two controls: assignee, and lead stage defaulting to open stages. The definition of the list is printed underneath them, so you are never guessing what you are looking at.

Use assignee to look across the team

Managers and admins only. An agent sees only their own work, so the control would list one name and mean nothing.

This is how you spot somebody with two hundred contacts and somebody with four.

Use lead stage to change the definition

It defaults to open stages. Widening it lets you look deliberately at terminal contacts — useful for auditing whether people are being marked DND too readily.

Notice there is nothing else

Two filters, on purpose. Every other question about who to call belongs in Contacts, where the advanced filter builder lives.

Use Contacts for anything more complex

Build the filter there, save it as a view, or turn it into a campaign audience. Those are the right tools for "everyone in Mumbai we have not touched in thirty days".

Check it worked

Set the assignee filter to each member of your team in turn and compare the counts. An uneven distribution is usually an assignment problem rather than a performance one.

Worth knowing

The parts people get wrong

  • Only managers and admins get the assignee control here, for the same reason it is absent in the Inbox.
  • If leads are arriving but nobody is calling them, the cause is almost always that they have no owner — an unassigned contact is in nobody's list.
