The call metrics worth watching

Six call metrics that tell you something worth acting on, the order to look at them in, and the popular number that cannot tell you anything at all.

Most teams measure website conversion to two decimal places and have no idea how many people rang and gave up. The numbers below are ordered by how much they usually change a business, and the first one is nearly always the biggest.

Dial attempts with the connect rate beneath. Volume alone cannot tell you whether the effort landed.

Reference

Missed inbound calls

Start here, always. This is the leak nobody measures, and for most businesses with a phone number it is larger than anything happening on the website.

It is also the number that justifies an after-hours AI agent, because those calls currently have a value of zero.

Time to first response on inbound

Speed to lead has the most reliable relationship to revenue of anything in this product. Minutes matter; hours are fatal.

Connect rate on outbound

Connected against attempted. This tells you about your list and the number you dial from, not about your script — and a poor connect rate cannot be fixed by improving the conversation.

Outcome distribution

The proportion of reached, no answer, wrong number and not interested. A high wrong-number rate is a data problem you can fix cheaply at source, which makes it the best-value thing on this list.

Out-of-hours volume

What arrives when nobody is there. This is the number that decides whether an after-hours flow is worth building, and it is usually larger than people guess.

AI agent handover rate

Too low and the agent is probably answering things it should not. Too high and it is not earning its place. No correct number, but a trend worth watching.

Ignore total call volume on its own

It rises when things go well and when things go badly. It cannot distinguish the two, so it cannot tell you anything.

Put it to use

Pick the one number from this list you currently cannot answer. Find it this week. For most teams that is missed inbound calls, and finding it changes what they build next.

Worth knowing

The parts people get wrong

  • Because campaign attempts and manual calls share the same outcome table, these metrics cover both without reconciling anything.
  • Home shows dial attempts and connect rate at the top, which is the fastest version of two of these.
