Storage: what uses it and what to do when it fills

Storage is the plan limit most likely to catch you unprepared, because nothing about daily use suggests it is filling. Four things draw on it and one of them — recordings — grows continuously without anybody choosing to add anything.

Know what draws on it
Knowledge base uploads, files on contacts, documents generated by workflows, and call recordings.
Clean the knowledge bases first
Not because they are the largest — usually they are not — but because deleting superseded documents improves your bot's accuracy as well as your space. Two problems, one action.
Then look at recordings
Usually the largest single consumer on a calling-heavy workspace, and the one that grows whether or not anybody is paying attention.
Then generated documents
A PDF generated on every workflow run adds up quickly at volume, especially if nobody is reading them.
Upgrade if the usage is genuine
Deleting things you actually need in order to stay on a cheaper plan is a false economy — particularly recordings, which are your best tool for improving AI agents.
Check it worked
After clearing knowledge base cruft, ask your bot five questions it used to get wrong. Often the accuracy improvement is the more valuable half of the exercise.
The parts people get wrong
- Recordings are usually the biggest consumer, but knowledge bases are the best place to start because deleting there improves answers too.
- Nothing about daily use signals that storage is filling. Check it when you check the other meters.
