Create a booking link

Booking links open from the calendar header. They live inside your calendar, because that is the only place their availability can honestly come from.

Booking links live inside Calendar rather than being a separate scheduling tool, and that placement is the point: a link's availability comes from your real calendar, so it cannot offer a slot you do not have.

The header shows how many live links you have, which is a useful reminder that these are long-lived objects. A link you created for a campaign two years ago is still accepting bookings.

Get this right before you let an AI agent book, because the agent reads the same availability.

Before you start

  • A connected calendar with the right sub-calendars included.
  • An honest answer to how long the meeting needs to be.
  • A decision about how much notice you need.

Steps

Open booking links from the calendar header

They open into a full-surface editor with the list on the left. The header shows how many are currently live.

"2 live links" in the header. Booking links are part of the calendar, not a separate product area.

Name it for what the invitee is booking

"30-minute product demo" tells them what they are agreeing to. "Meeting" does not, and vague names produce no-shows.

Set hosts and how they are assigned

Random pick, all hosts together, or let the invitee choose. This decision changes how much availability exists, sometimes dramatically.

Set slot length, people per slot and gap after

The gap after is the setting people skip and then regret. Back-to-back calls with no gap is how a good day becomes a bad one by eleven o'clock.

Set weekly availability and timezone

It reuses the same hours editor as channel calling hours — one vocabulary across the product. Set the hours you want to be booked in, which is usually narrower than the hours you work.

Set least notice, how far out, and a daily cap

So a link cannot fill your Monday and nobody books you in fifteen minutes. These three are what make a public link safe to publish.

Set the conflict rule and a location

What counts as busy, and either a video link or an address.

Book yourself a slot to test it

From a private browser window, as an invitee would. Then check it landed in your calendar with the right duration and the right joining details.

Check it worked

Open the link on a phone. Most people booking with you will. If the slots are hard to read or the form is long, fix it now — every extra field costs bookings.

Worth knowing

The parts people get wrong

  • Booking links are on every plan.
  • An AI voice agent can book into the same availability, so anything wrong here becomes wrong on a call too.
  • A link is long-lived. Review the ones you have occasionally — old links from finished campaigns are still accepting bookings.
